Birthday Emails

Send personalized birthday greetings and deals to your customers automatically.

Overview

Birthday emails are a powerful way to build personal connections with your customers. When enabled, ReturnNudge automatically sends a birthday greeting to each customer around their birthday, optionally including a special deal or discount in the message.

Setting Up Birthday Emails

During Onboarding

The onboarding wizard includes a birthday email setup step where you can:

  1. Enable or disable birthday emails.
  2. Set the offset days — how many days before the customer's birthday to send the email (default is 3 days).
  3. Customize the email subject line and body.

After Onboarding

To configure birthday emails after initial setup:

  1. Go to Settings in the sidebar.
  2. Click Edit Email Settings.
  3. Update the birthday email toggle, offset days, subject, and body.
  4. Use the Preview button to see how the email will look with merge fields filled in.
  5. Save your changes.

How Birthday Emails Work

  1. When you add a customer, include their birthday (month and day).
  2. ReturnNudge sends the birthday email based on the offset you configured. For example, with a 3-day offset, a customer with a May 15 birthday receives the email on May 12.
  3. Emails are sent at 9:00 AM in your business's configured time zone.

Note: Only customers with a birthday on file and who are subscribed to birthday emails will receive them. Each customer receives at most one birthday email per year.

Email Content

Birthday emails support two merge fields for personalization:

  • {{customer_name}} — The customer's name
  • {{business_name}} — Your business name

Your business logo, address, phone number, and website are automatically included in the email footer.

Tip: Include a specific offer or discount in your email body to encourage customers to visit. For example: "Enjoy 15% off your next oil change — just mention this email when you come in."

Customer Birthday Management

Adding Birthdays

Birthdays can be added when:

  • Creating a new customer manually (select birth month and day)
  • Importing customers via CSV (include birth_month and birth_day columns)
  • Customer self-registration via Kiosk Mode

Editing Birthdays

To update a customer's birthday:

  1. Go to the customer's detail page.
  2. Click Edit.
  3. Update the birth month and day dropdowns.
  4. Save.

Unsubscribing

Customers can unsubscribe from birthday emails through the link in their email. You can also toggle the subscribed to birthdays preference from a customer's edit page.
