Email Templates

Customize the content and appearance of your automated emails.

Overview

ReturnNudge lets you customize the emails sent to your customers. Service reminder templates are configured per-service, while birthday email templates are configured in your account settings.

Merge Fields

Use merge fields in your email subject lines and body text to personalize emails. Insert them using double curly braces:

{{business_name}} Your business name "Smith's Auto"

{{service_name}} and {{item_name}} are only available in service reminder emails. {{customer_name}} and {{business_name}} are available in all email types.

Service Reminder Templates

Each service has its own email template. This means you can customize the messaging for each type of service you offer.

Editing a Service Template

  1. Navigate to Services in the sidebar.
  2. Click on the service you want to customize.
  3. Click Edit.
  4. Scroll to the Email Template section.
  5. Customize the Subject Line and Email Body.
  6. Click Save.

Template Fields

  • Subject Line — The email subject. Use merge fields for personalization (e.g., Time for your {{service_name}}, {{customer_name}}!).
  • Email Body — The main content of the email. Supports merge fields.

If you leave the template fields blank, a default template is used.

Example Service Reminder

Subject: Time for your {{service_name}}, {{customer_name}}!

Hi {{customer_name}},

It's been a while since your last {{service_name}} at {{business_name}}. Regular maintenance keeps everything running smoothly.

We'd love to help you stay on schedule. Give us a call or stop by to book your next appointment.

Birthday Email Template

The birthday email template is configured at the account level and applies to all customers.

Editing the Birthday Template

  1. Click Settings in the sidebar.
  2. Click Edit Email Settings in the Email & Reminders section.
  3. Customize the birthday email fields.
  4. Click Save.

Template Fields

  • Birthday Emails Enabled — Toggle to enable or disable birthday emails for all customers.
  • Offset Days — How many days before the customer's birthday to send the email (0-30 days, default: 3).
  • Subject Line — The email subject (e.g., Happy Birthday, {{customer_name}}!).
  • Email Body — The birthday greeting content. Supports {{customer_name}} and {{business_name}} merge fields.

A Reset to default button is available to restore the original template. You can also preview the email before saving.

Email Appearance

All emails automatically include:

  • Your business logo (if uploaded in Business Setup)
  • Your business name in the header
  • Contact information in the footer
  • An unsubscribe link for email preference management
  • Your business address for CAN-SPAM compliance

Saving Changes

Click Save to apply your template changes. The new templates will be used for all future emails. Previously sent emails are not affected.

Tip: After making changes to a service template, you can use the broadcast Send Test feature to check formatting. For birthday templates, use the email preview on the settings page.
