Broadcast Emails

Send one-time promotional emails, announcements, and newsletters to your customers.

Overview

Broadcast emails let you send one-time messages to some or all of your customers. Unlike automated reminders and birthday emails, broadcasts are manually created and sent on your schedule. They're perfect for promotions, seasonal offers, business updates, or newsletters.

Creating a Broadcast

  1. Navigate to Broadcasts in the sidebar.
  2. Click New Broadcast.
  3. Fill in the broadcast details:
    • Subject — The email subject line
    • Body — Your email content using the rich text editor. Use the merge field buttons to insert {{customer_name}} and {{business_name}} for personalization.
    • Recipients — Choose who receives this email (see below)
  4. Click Continue to Preview to review before sending, or Save Draft to finish later.

Selecting Recipients

You can target your broadcast to:

  • All subscribed customers — Everyone in your customer list who is subscribed to promotional emails
  • By service — Only customers enrolled in a specific service
  • Manual selection — Search and select individual customers from a list

The recipient count updates in real-time as you adjust your selection, so you always know how many people will receive your email.

Previewing and Sending

After creating your broadcast, you'll be taken to the preview page where you can:

  1. Review the email — See how the email will look with merge fields filled in using a sample customer.
  2. Check recipient count — See how many customers will receive this broadcast.
  3. Send a test email — Send a copy to your own email address to check formatting and content.
  4. Send now — Confirm and send the broadcast immediately to all recipients.
  5. Schedule for later — Pick a date and time to send the broadcast automatically.

If your broadcast would exceed your daily email limit, a warning banner is shown on the preview page. When the daily limit has already been reached, the Send Now and Schedule buttons are disabled — schedule the broadcast for a future day or upgrade your plan.

If your account's email sending has been paused due to a high bounce rate, you'll see a red warning banner on the preview page explaining the pause. The Send Now, Schedule, and date picker are all disabled until you resolve the bounce issues and resume sending from your Settings page.

Tip: Always send a test email before broadcasting to your full customer list. Check for typos, broken links, and formatting issues.

Broadcast Status

Each broadcast has a status:

Status Description
Draft Created but not yet sent. Can be edited.
Scheduled Scheduled for a future date and time. Can be cancelled back to draft.
Sending Currently being delivered to recipients. Progress is shown in real-time.
Sent Successfully delivered to all recipients.

Broadcast Detail Page

Click on a broadcast to see:

  • Status, recipient count, sent count, and failed count
  • Created by and timestamps for created, scheduled, and sent dates
  • Delivery progress bar showing how many emails have been sent (while sending)
  • Email preview with merge fields rendered
  • Email log — A table of individual email deliveries with status (pending, sent, or failed)

Managing Broadcasts

From the Broadcasts list, you can filter by status (All, Drafts, Scheduled, Sent) and:

  • Duplicate — Create a draft copy of any broadcast (great for recurring promotions)
  • Edit — Modify a draft or scheduled broadcast. Editing a scheduled broadcast reverts it to draft.
  • Delete — Remove a broadcast (admin only, not while sending)

From the broadcast detail page, you can also Cancel a scheduled broadcast to revert it back to draft status.

Note: You cannot edit a broadcast after it has been sent. If you need to make changes, duplicate the broadcast and modify the copy.

Best Practices

  • Don't over-send — Sending too many broadcasts can lead to unsubscribes. Aim for 1-2 per month.
  • Be relevant — Target your broadcasts to the right audience using service-based selection.
  • Include a clear CTA — Every broadcast should have a clear call to action (e.g., "Book Now", "Visit Us", "Claim Your Discount").
  • Respect preferences — Customers who have unsubscribed from news/promotional emails will not receive broadcasts.
  • Watch for bounces — Customers with bounced emails are automatically excluded from all broadcasts. If the recipient count is lower than expected, check your Customers page for bounced emails.
  • Monitor bounce rate — If too many emails bounce (more than 5% over 7 days), email sending is automatically paused for your account. You'll receive an email notification and see warnings throughout the app. Visit your Settings page to view your bounce rate and resume sending after fixing the issue.

Email Limits

Broadcasts count toward your daily email sending limit. If the limit is reached while a broadcast is being sent, the remaining emails will not be delivered. Only the recipients sent before the limit was reached will receive the email — the rest are skipped.

The preview page warns you before this happens:

  • Yellow warning — Your broadcast has more recipients than your remaining daily sends. Only some emails will be delivered.
  • Red warning — Your daily limit has already been reached. The Send Now and Schedule buttons are disabled until the limit resets the next day.

You can also check your Dashboard to see your current daily usage at any time.

Tip: If your broadcast has more recipients than your remaining daily limit allows, schedule it for tomorrow when the limit resets automatically, or upgrade your plan for a higher daily sending limit.
